These Terms of Service ("Terms") govern your access to and use of the KidSync mobile application and related services (collectively, the "Service"), operated by Workflow Architects, Hong Kong ("Workflow Architects", "we", "us"). By creating an account, downloading the app, or using any feature of the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
KidSync is intended for parents, guardians and other adults. You must be at least 18 years old (or the age of majority in your jurisdiction) to create an account. The Service is not directed at children and we do not knowingly collect personal data directly from children. Information about your children is added by you, the parent or guardian, and is treated as described in our Privacy Policy.
You are responsible for the activity that occurs under your account, including all events and information you add. You must provide accurate registration information and keep your password confidential. When you invite other adults into your family group, you confirm that you have permission to share family and child information with them. You may remove members or leave a family group at any time from the app settings.

You retain ownership of the photos, text and event information you create or upload ("Your Content"). You grant us a limited, worldwide, royalty-free licence to process Your Content solely to provide the Service to you and your family group — for example, to perform OCR, run AI parsing, and store events. We do not sell Your Content or use it to train third-party AI models. Photos used for OCR are processed ephemerally and not retained on our servers.
KidSync is currently offered free of charge. We reserve the right to introduce paid plans, subscriptions, or in-app purchases in the future. If we do, we will clearly mark which features are paid and you will only be charged after you actively confirm a purchase through the Apple App Store or Google Play. Free features available at the time of any change will continue to be available to existing users for a reasonable period after notice.
KidSync relies on third-party providers to operate, including Supabase (database, storage and authentication), Fly.io (application hosting), Google Cloud Vision (optional cloud OCR), and DeepSeek (AI parsing). Their handling of data is governed by their own terms and privacy policies. You also access KidSync through the Apple App Store or Google Play, and your use of those stores is subject to their respective terms.
The Service is provided on an "as is" and "as available" basis without warranties of any kind. OCR and AI parsing may produce inaccurate or incomplete results — you remain responsible for reviewing and confirming every event before saving it. We do not guarantee that the Service will be uninterrupted, error-free, or compatible with every device. Calendar events created in KidSync should not be relied upon as your sole record of important obligations.
To the maximum extent permitted by law, you agree to indemnify, defend and hold harmless Workflow Architects, its owners, directors, employees, contractors and affiliates from and against any and all claims, demands, actions, liabilities, losses, damages, fines, penalties, costs and expenses (including reasonable legal fees) arising out of or in any way connected with: (a) your use or misuse of the Service; (b) any content, data, images or information you submit, upload, scan or store, including any child or third-party information and your confirmation that you are authorised to provide it; (c) your breach of these Terms or of any applicable law; (d) your reliance on any OCR or AI-generated output; and (e) any infringement by you of the rights of any third party. Workflow Architects assumes no responsibility whatsoever for any such matters, and this indemnity survives termination of your account and of these Terms.
To the maximum extent permitted by law, Workflow Architects and its affiliates will not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, data, or goodwill, arising out of or in connection with your use of the Service. Our total liability for any claim relating to the Service is limited to the greater of (a) the amount you have paid us for the Service in the 12 months before the claim, or (b) HK$500. Nothing in these Terms limits liability that cannot be excluded under applicable law.
You may stop using the Service at any time and delete your account from the in-app settings. We may suspend or terminate your access if you materially breach these Terms, if your account presents a security risk, or if we are required to do so by law. On termination, the licences granted under these Terms end and we will delete your account data within 30 days, except where we are legally required to retain it.
These Terms are governed by the laws of the Hong Kong Special Administrative Region, without regard to conflict-of-law principles. Any dispute arising out of or in connection with these Terms will be subject to the exclusive jurisdiction of the courts of Hong Kong, except where you, as a consumer, have mandatory rights to bring proceedings in your country of residence.
We may update these Terms from time to time. If a change is material, we will notify you in-app or by email before it takes effect and update the "Last updated" date above. Your continued use of the Service after the change becomes effective constitutes acceptance of the updated Terms.
